ManosCare serves as a Business Associate to healthcare providers, covered entities, and medical practices under the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the Health Information Technology for Economic and Clinical Health (HITECH) Act. We maintain formal Business Associate Agreements (BAAs) with all practice clients.
1. Scope of This Policy
This Privacy Policy governs the collection, use, maintenance, and disclosure of information collected by ManosCare through our website (https://www.manoscare.com), client portals, electronic data interchanges (EDI), and revenue cycle management services.
2. Protection of Protected Health Information (PHI)
When performing medical billing, medical coding, eligibility verification, and denial management services, ManosCare receives and processes Protected Health Information (PHI) on behalf of our client practices. We safeguard all PHI in strict accordance with the HIPAA Privacy Rule and Security Rule:
- All PHI is encrypted in transit using TLS 1.3 cryptographic protocols and at rest using AES-256 standard encryption.
- Access to PHI is strictly restricted through Role-Based Access Controls (RBAC) to personnel directly responsible for account processing.
- We do not sell, rent, commercialize, or monetize patient health data under any circumstances.
- Regular internal and external vulnerability assessments and annual security training are required for all staff.
3. Information Collected via Our Website
When visiting our public website or requesting a Free Practice Billing Audit, we may collect business contact information, including your full name, practice name, business email, phone number, medical specialty, and practice operational software. This information is utilized solely to communicate with your practice regarding our services and audit evaluations.
4. Business Associate Agreement (BAA)
Prior to accessing any practice EHR, clearinghouse, or clinical documentation, ManosCare executes a mutual Business Associate Agreement establishing explicit legal obligations, data breach notification protocols (within 24 hours of discovery), and data destruction requirements upon contract termination.
